Privacy Policy
Last updated: 27 October 2026
This policy explains what happens to the personal information you give to Willow Harbor Stone, an end-of-life planning information service run from Fukui, Japan. We have tried to describe what our small website and mailbox actually do, rather than what a larger company with a larger system might do. If something below does not match your experience, please tell us.
1. Who is responsible
The operator of Willow Harbor Stone handles the personal information described here, in line with Japan's Act on the Protection of Personal Information (個人情報保護法, "APPI"). Our contact details are:
Willow Harbor Stone
1-22-1 Junka, Fukui, Fukui 910-0023, Japan
〒910-0023 福井県福井市順化1丁目22-1
Phone: +81 776-54-4245
Email: info@willowharborstone.com
The name of the operator and of the person responsible for enquiries is given on request by email.
2. What we receive
- The web form. Name, email address, an optional phone number, the topic you pick and the free-text message you write.
- Email and phone. Whatever you tell us when you write to us or call, including your address if you give it.
- Conversations. If you take part in a first conversation or a paid session, the information about your family, records and wishes that you choose to share. We make short working notes so that we can prepare your planning notes.
- Technical data. This site contains no analytics, advertising or social-media tags. The company that hosts the site may keep ordinary server logs (IP address, time, page requested) as part of running the service; we do not use them to identify individual visitors.
3. Why we use it
We use personal information only to answer your enquiry, to arrange and hold conversations with you, to prepare and send quotes, to deliver the sessions you have agreed to, to deal with questions or complaints afterwards, and to meet legal obligations such as keeping accounting records. We do not use it for advertising, we do not send a newsletter, and we do not build profiles of visitors.
4. Sensitive information
Subjects such as health, medical history, family circumstances and creed are sensitive (要配慮個人情報). Please do not put them in the web form. If you decide to talk about them in a session, we use them only for that session and for the notes you ask us to prepare, and we do not pass them on to anyone without your consent.
5. Who else sees it
formsubmit.co. The web form on this site does not send your message to our server directly. It posts to formsubmit.co, a third-party service that turns form entries into emails and delivers them to our mailbox. That service is operated by another party and sits outside our control. We have not verified where it processes or stores data, and it may do so outside Japan. If you prefer not to use it, email or call us instead.
Google Fonts. Our pages load typefaces from Google. Your browser therefore contacts Google's servers when a page opens, which reveals your IP address and browser details to Google.
Professionals. We do not introduce you to, or pass your details to, any lawyer, notary, scrivener, accountant, doctor or funeral company unless you ask us to and agree to what is shared.
Other cases. We do not sell personal information. We disclose it only where the law requires, for example in response to a lawful request from a public authority.
6. Care and its limits
We take reasonable care with what we receive: access to our mailbox is limited to the operator, and we do not keep paper copies unless a task needs them. Please understand the limits all the same. A web form and email are not private channels, and no one can promise that a message sent over the internet will never be read by someone else on its way.
7. How long we keep it
We have not set a fixed retention period. We keep enquiries and session notes for as long as we need them to answer you, to deliver an agreed service and to deal with follow-up questions, and we keep accounting records for as long as the law requires. If you ask us to delete your information, we will do so unless we must keep it for a legal reason.
8. Your rights
Under the APPI you may ask us to tell you what personal information about you we hold, to give you a copy, to correct it if it is wrong, and to stop using or delete it in the cases the law provides for. Write to the email address above and say what you would like. We may need to check that the request really comes from you, and we will answer without undue delay.
9. Cookies and browser storage
This site does not set tracking cookies. It stores one small value in your browser to remember that you closed the site notice. The Cookie Policy gives the details.
10. Children
The service is meant for adults. We do not knowingly collect information from anyone under eighteen. If you think a young person has written to us, please let us know and we will delete the message.
11. Changes
If our practices change, for instance if we add an analytics or advertising tag, we will update this page before the change takes effect and alter the date at the top.
12. Questions and complaints
Please contact us first at the address above. You may also seek advice from the Personal Information Protection Commission (個人情報保護委員会), the Japanese authority responsible for the APPI.
